Key Dates Questions

Can I add and delete my own Key Dates?

Yes! You can add custom dates for your classroom including field trips, parent conferences, and personal reminders. Click the "Add Custom Date" button to create your own dates. You can edit or delete any dates you create, but system holidays cannot be removed.

Who can see the Key Dates I create?

By default, dates you create are personal and only visible to you. In the future, teachers will be able to create classroom-wide dates that paraprofessionals and co-teachers can see. US holidays and school breaks are visible to everyone.

How do I set up Key Dates at the start of the school year?

Key Dates comes pre-loaded with US holidays and common school breaks. To customize for your school year: 1) Review and enable/disable holidays based on your district's calendar, 2) Add your school's specific dates like first/last day of school, 3) Add important recurring events like early release days or PD days, 4) Set up any IEP annual review dates for your students.

How do IEP dates work in Key Dates?

When you add a student's IEP annual review date, Pink Cow automatically calculates important deadlines: 30-day meeting notice, 10-day reminder, and document due dates. These dates will appear in your Key Dates calendar with appropriate alerts. IEP dates are private to the case manager and authorized team members.

Can I share Key Dates with parents?

Currently, Key Dates is only visible to school staff. However, you can export important dates to share with parents via email or printed calendars. Parent portal access is planned for a future update.

What's the difference between date types and school status?

Date types categorize your events (Holiday, School Event, IEP Related, Custom, ToDo).School status indicates the impact on school operations: "No School" (building closed), "No Students" (teacher work day), "Regular" (normal day), or "Aware" (important but school operates normally). This helps you quickly see which dates affect attendance and planning.

Can I set reminders for Key Dates?

Key Dates with specific dates will appear in your dashboard's upcoming events. For IEP-related dates, automatic reminders are built in (30-day, 10-day notices). Email notifications for custom reminders are coming in a future update.

How do I manage dates for multiple school years?

Key Dates automatically focuses on the current academic year (August to July). Past dates remain in the system for reference but are hidden by default. At the end of each school year, you can archive old dates and set up the new year's calendar. Recurring holidays automatically roll over to the next year.
